Part One Soliciting Comments and Suggestions
S: Good afternoon, Miss Wen. Thank you for all your help. Your hotel has really contributed to the success of our 5-day Summer Workshop.
W: Very pleased to hear that and we need comments and suggestions from the reporters for improving our work.
S: Generally speaking, our reporters are satisfied with your service here, except for a few comments. I'll pass them on to you.
W: Comments and complaints are most welcome. You know, they are very important for improving our service.
S: Most comments our reporters made are good ones. They enjoyed their stay here and had a wonderful time in the evenings. There are just a few complaints. One morning, one of our reporters found the water was not hot enough. Another reporter found there were not enough hangers. (She fills up the questionnaire and asks Mr steward to sign it)
W: Thank you very much for telling us about these. I'm very sorry for having caused your reporters such inconveniences. I'll report to our General Manager immediately and see to it that proper measures be taken to improve our service in these aspects.
S: 0n the whole, we like your hotel very much.
W: Thank you. We look forward to meeting you again and hosting reporters from Foreign Language Teaching and Research Press.
S: I'll contact you if I ever have a chance to visit here again.
W: Please do, Mr Steward.
Part Two Arranging a news conference
W: Good morning, sir. May I help you?
S: Yes, I'm Richard Steward from Beijing Foreign Language Teaching and Research Press. Our press is going to hold a news conference in the middle of July. Do you have a convention hall?
W: We have a function hall that can accommodate two hundred people at meeting and for holding buffet or cock-tail parties.
What size of conference room do you have in mind?
S: This hall is a little too big for us, I'm afraid. We need a hall that can accommodate one hundred persons.
W: Don't worry. The function hall can be partitioned according to the need fo our guests.
S: Good. There will be about 60 reporters attending the news conference. Mind you, admission by invitation only.
W: Yes, admission by invitation only. A room with a seating capacity of about one hundred persons. What time are you going to rent the function hall?
S: From 10:30 am to 11:40 am of July 14th.
W: Yes, the conference will last about 70 minutes. Would you please tell me the name of the conference?
S: The official name is under discussion, but we will be able to let you know the day after tomorrow.
W: Please fax the name at 8778-8778. It's in my business card. And how many people will be sitting at the rostrum, please?
S: Let me see. There will be 4 people.
W: We'll prepare 4 microphones at the rostrum and 2 wireless ones for the reporters.
S: What about your maching facilities?
W: We're fully equipped. There are over head projectors, slides, recorders, screens and very good acoustics, etc.
S: Please double check microphones, loudspeakers and recorders as we're going to use them.
W: Yes, Mr Steward. May I suggest a banner in the conference room and a poster in the Lobby?
S: Great. Thank you. We also want two smaller rooms for exhibition from 9:00-11:30 the same morning.
W: 0ur function room can be used either as one big hall or several smaller rooms divided by soundproof folding partitions. So the conference and the exhibition are adjoining.
S: I see. What's your room charge?
W: The room rental of the news conference is 3,500. The exhibition room is 800 yuan.
